Install DROIDSYNC

One download for QuickBooks Desktop and QuickBooks Online. The installer sets up everything DROIDSYNC needs in its own folder on this PC, then opens the app.

The first install can take 5–10 minutes; most of that is the browser component.

The installer's three steps, in order.
  1. Download the free beta and unzip it.
  2. In the DROIDSYNC folder, double-click INSTALL DROIDSYNC - CLICK ME FIRST. If this PC doesn't have Python yet, the installer downloads it from python.org for you.
  3. Leave the setup window open. It works through three steps — installing components, downloading the automation browser (about 150 MB, the long part), then creating shortcuts and opening the app.
  4. Answer whether you want a DROIDSYNC shortcut on your Desktop. The Start-menu entry is always created, so Windows Search finds it either way.
  5. Read the Terms of Service, tick I have read and agree to these terms and press Agree.
  6. First-time setup opens: Your POS & books, Connect your POS, Your stores, then Look, email — done. The next two guides walk through it.
Back up QuickBooks first. In QuickBooks Desktop: File → Back Up Company → Create Local Backup. It takes two minutes. See the beta deal.

Connect the PAR portal

DROIDSYNC reads each store's Sales Summary by signing in to your PAR/Brink portal — the same portal you look at every morning. It only reads; it never changes anything in PAR.

In first-time setup

  1. On Your POS & books, pick PAR Brink POS and the QuickBooks you use. Not sure which? If QuickBooks opens from an icon on a PC and asks for a company file, it's Desktop; if you sign in to it in a web browser, it's Online.
  2. On Connect your POS, choose A. Portal login. Check the Portal address, type your Portal username, and pick a Reports folder (it starts as Documents\DROIDSYNC Reports).
  3. Press Sign in to the portal once (opens a browser) and log in there.
  4. On the main screen, press Log in to portal and type your portal password once. Windows seals it on this PC, so scheduled runs can sign in by themselves.
  • Changed your portal password? Press Log in to portal again and type the new one. “Forget saved password” removes it.
  • PAR's official API is being built and isn't offered yet; the portal login is how DROIDSYNC reads PAR today.

Connect QuickBooks

Each store posts into its own QuickBooks company. You connect each one once, on this PC — and DROIDSYNC never asks for your QuickBooks password.

QuickBooks Desktop

  1. On setup's Your stores step, press Find my stores automatically — or + Add one by hand — and give each store its QuickBooks company file (.qbw).
  2. Open QuickBooks on that store's company and log in as Admin.
  3. On DROIDSYNC's main screen press Connect QuickBooks, pick the store, and press Connect now.
  4. QuickBooks itself asks whether to let DROIDSYNC in. Choose the “Yes, always allow access, even if QuickBooks is not running” answer, then Continue, Yes, Done. Leave “allow access to personal data” unticked.
  5. Repeat for each store. You never have to do it again on this computer.

QuickBooks Online

  1. Pick QuickBooks Online in setup (or later in Settings → Stores).
  2. Press Connect QuickBooks Online, pick the store, and press Connect now.
  3. Your browser opens Intuit's own sign-in page: log in and pick that store's company. When the browser says Connected!, go back to DROIDSYNC. The link renews itself.
  • QuickBooks Online for real companies opens as soon as Intuit approves DROIDSYNC — until then email us and we set you up personally, usually the same day.
  • Taking it back: in QuickBooks Desktop, Edit → Preferences → Integrated Applications; in QuickBooks Online, Settings → Apps.
  • Settings → Support → Connection check... tests the live connection for each store.

Set up account mappings

Mappings say where each line of the POS Sales Summary lands in QuickBooks. One shared set covers every store unless you choose otherwise.

Each rule is a report line, the QuickBooks account it goes to, and Debit or Credit.

Two ways to build your mappings.
  1. Run Get POS reports once (the Run link next to Step 1 on Home), so DROIDSYNC has a real report to read.
  2. Open Account mappings and choose how to post the day's sales: Journal entry, Sales receipt or Invoice.
  3. The quick way: press Learn my books. Pick a store and a few days your bookkeeper already posted by hand, press Study my books, tick the changes you want and press Apply the ticked changes. Nothing is saved until you apply.
  4. Or map by hand: on the Journal, Deposit and Paid outs tabs press + Add rule, pick the report line, type the QuickBooks account exactly as it appears in your chart of accounts, choose Debit or Credit, and Save.
  5. On the Deposit tab, set Deposit into bank account and the report line(s) to verify against.
  • New tender? When the sync finds a money line that isn't mapped, a “New money lines found” window asks which QuickBooks account it belongs to.
  • View a POS report lists every label you can use in a mapping.
  • Names must match your chart of accounts exactly — see DS-515, DS-516 and DS-550.

Your first sync — Preview first

Before you trust it with the nightly books, look. Preview shows exactly what would post, and nothing is sent to QuickBooks.

  1. Back up QuickBooks (File → Back Up Company → Create Local Backup). DROIDSYNC reminds you before your first import.
  2. On Home, tick the stores to run. Leave Date empty for yesterday, or type a date.
  3. Press Preview — see what would post. For each store you see the journal entry lines and whether they balance, the deposit and the bank account it goes into, and any problems the real run would hit. QuickBooks isn't opened.
  4. Happy with it? Press Run daily sync. Step 1 gets the POS reports, Step 2 posts into QuickBooks, and Result tells you how it went. The Activity panel shows each line as it happens.
  5. Open QuickBooks and check the entries against your POS report. Every one carries a DroidSync memo.
  • Re-running is safe. DROIDSYNC asks QuickBooks first and skips a day that's already posted.
  • Run options: Show browser window · Force re-run (even if already OK today) · Allow old report files (skips the ‘downloaded today’ check).
  • Each step also has its own Run link, to do one step at a time.

Schedule the morning run

Set a time once, and the sync runs every day by itself — with a plain-English summary waiting when it's done.

One daily run

Settings → Schedule and Email.
  1. Open Settings → Schedule.
  2. Tick Run every day at: and type a 24-hour time, for example 05:00.
  3. Leave Close QuickBooks before a scheduled run on (it is by default).
  4. Several stores? Instead of one daily run you can use One timer per store: set Minutes apart: and press Set up. A store can also have its own start time in its store settings.
  5. Press Save settings.
  6. For the summary by e-mail, open Email: type an address in Email the summary to, tick Daily summary — after every sync, and press Send a test. The first e-mail is a confirmation link; click it once and the summaries start.
  • The PC must be on and you must be signed in to Windows at that time. If the PC is asleep, Windows wakes it for the run, as long as wake timers are allowed in Windows' power settings. If it was off, the sync starts as soon as it's turned on again, and a failed run retries every hour (up to 4 tries).
  • No e-mail set? The morning summary is saved on your Desktop as a text file instead. E-mailed summaries are sent through DROIDSYNC's mail relay.

Read the dashboard

Home answers one question first — did last night's books post? Dashboard and Compare show the last 30 days, built only from what DROIDSYNC posted.

  1. Home: the top card tells you whether every store posted. The Yesterday panel shows Deposits posted, Net sales, Journal total and Over / short, and each store has a status — Posted, Problems, No runs or Noted.
  2. Last 30 days: one square per day — green ran clean, amber ran with problems, grey no run.
  3. Dashboard: one card per store with its deposits, net sales and over/short for the last 30 days. Press Refresh after a run.
  4. Compare: every store side by side — net sales, average per synced day, deposits, over/short, days synced and a rank.
  5. The morning summary lists the store numbers, then anything under “PROBLEMS – these need a human”, then “WORTH A LOOK” — where a drawer that runs short or over several days in a row gets flagged.
  • It never has to open QuickBooks to draw these — they come from DROIDSYNC's own record of what it posted.
  • For month-end, Reports → Close My Month turns the month into a one-page calendar per store.

Undo an import

Posted a day with the wrong mapping? Take it back cleanly. Only entries carrying DROIDSYNC's own memo marker are listed — hand-entered transactions never appear.

In the sidebar

The app asks once more, in its own words: “This permanently removes N DROIDSYNC entries from QuickBooks. Your bookkeeper's own entries are never touched.”

Undo DROIDSYNC imports, step by step.
  1. Click Undo imports in the sidebar, just above Settings.
  2. Choose Look back: — Last 15 minutes, Last hour, Last 24 hours, Last 7 days or Last 30 days. It counts when the entries were created, not their dates. Tick the stores, and Include payroll hours if you want those too.
  3. Press Find DROIDSYNC entries. Only entries carrying DROIDSYNC's own memo marker are listed, all ticked to start.
  4. Untick anything you want to keep, then press Delete ticked entries.
  5. Type DELETE and press Delete them.
  6. Fix the mapping, then Reports → Missed-day check can re-post the removed days cleanly.
  • Journals, deposits, sales receipts, invoices, payroll hours and vendor bills that DROIDSYNC posted can all be listed. Names it added, such as a vendor or employee, stay.
  • If QuickBooks refuses, check the company's closing date, and that you're signed in as Admin in single-user mode.

Payroll, positive pay and monthly reports

The pay-period and month-end chores, each one in its own window. The Reports page has a card for each, with an Open button.

Payroll hours

  1. Press Payroll sync… on Home, or Payroll in the sidebar.
  2. Pick the pay period — type the dates, use Calendar ▾, or a Quick pick like Last 2 weeks — and tick the stores.
  3. Press Step 1 - Pull payroll to spreadsheet. Open the spreadsheet and fix anything you need; nothing has touched QuickBooks yet.
  4. Press Step 2 - Import reviewed spreadsheet into QuickBooks. Your edits win, and QuickBooks still builds the paychecks.
  5. Optional: Employees to import... to untick names that shouldn't be sent, and Automatic schedule to repeat Daily, Weekly, Every 2 weeks, Monthly or Quarterly.

Positive pay

  1. Reports → Positive pay: pick the Pay date, the Bank account and who to e-mail it to.
  2. Press Build and e-mail now (or Build only). You get the file your bank's positive-pay upload wants — Type, Date, Num, Name, Memo, Amount.
  3. Upload it at your bank yourself; the app never touches the bank. The Automatic – on payroll mornings panel can build it on the days you choose.

Month-end

  1. Close My Month: pick the month and get a calendar per store — clean, problem and missing days — with totals and the biggest over/short day. Save it as one page or export it to Excel for your accountant.
  2. Sales Tax Helper: one month of sales tax per store, day by day, ready to check against your state filing.
  3. Monthly Excel export: press Create workbook for the whole month, every store, in one file. Settings → Email can send the monthly report on the 1st.
  • Names are never guessed. A POS name that doesn't match anyone in QuickBooks is reported by name, and everyone else's hours still post.
  • Payroll files (Intuit) makes IIF and CSV import files with no QuickBooks connection needed.
  • QuickBooks Online Payroll paychecks can't be read by apps, so positive pay tells you to add those from Payroll's own paycheck list.

Use error codes

When something needs you, DROIDSYNC says so in plain English — what happened, what to do — and gives it a DS- code you can look up.

How a problem reads in the app
[DS-514] QuickBooks wouldn't open the company file.
What to do: Close QuickBooks if it's on another company; dismiss dialogs; or authorize the app.

Open the Error Decoder

The message format every DS- code uses.
  1. After a run, a store that needs you shows Problems › on Home, and a DROIDSYNC — attention needed window lists what went wrong.
  2. Click the store's Problems badge. What needs a human says what happened, What to do says how to fix it, and Today's log, this store shows the details.
  3. Every message carries a DS- code, like [DS-514]. Look it up on the Error Decoder for the full explanation and fix.
  4. Fixed it? Run again — nothing posts twice. Press Dismiss - I've seen this to clear the badge.
  5. Still stuck? Email the code and today's log (Open log folder) to [email protected].
  • A scheduled run that hits a problem also leaves a DROIDSYNC ALERT text file on your Desktop, so you can't miss it.
  • Settings → Support → Create diagnostics zip packs the logs for a bug report with every password and token stripped out. It's saved on your PC; nothing is sent until you attach it to an e-mail.

Try demo mode

Demo mode opens DROIDSYNC with two made-up stores — Northside and Lakeview, of Demo Restaurants LLC — and scripted syncs. No POS portal and no QuickBooks are touched. Every screenshot on this site was taken in demo mode.

  1. Demo mode is started with DROIDSYNC's demo switch; there isn't a button for it in the app yet. Email us and we'll walk you through opening it.
  2. You'll see DEMO next to Daily sync and in the window title. The Activity log starts with “DEMO MODE - Demo Restaurants LLC, 2 stores, scripted syncs, nothing real is touched.”
  3. Press Run daily sync and watch a scripted run finish in a few seconds.
  4. Look around Dashboard, Compare, Reports and Settings — they're filled with made-up history.
  5. To leave, close the app and open it normally. Demo mode lasts only for that session.
  • In demo mode, Log in to portal and Connect QuickBooks only write a note in the log. No schedules, no Desktop files, no updates, and the demo's data goes to a throwaway folder.
